This article explains how to add users (teammates) to your Scanova account and how to export shared user data for managing permissions and account access.
Note that this feature is only available in the Pro and Enterprise Plans of Scanova QR Code Generator.
A. Adding Users to Scanova Account
Scanova allows account owners to add teammates to collaborate and manage QR Code campaigns. Adding users helps distribute tasks like creating, editing, and managing QR Codes and other data, with varying access levels based on user roles.
Follow these steps to add teammates to your Scanova account:
- Login to the Scanova Account
- On the left sidebar, click on User Management
- In the Users tab, click on Invite User
- Enter the User's Name, Email Address and choose the user’s role
- Click on Send Invite

The user will receive an email invitation to join the account. Once they accept, they will be added as a teammate with the assigned role
B. User Permissions
Users have an option to choose amongst the 5 default user roles available while adding teammates to their Scanova Account. Roles and permissions allow control over who can access different areas of the Scanova account. Below given is a description of each User Role:

C1. Change user role
To change the user role even after a shared user has been added to the Scanova Account follow the below steps:
- Login to the Scanova Account
- On the left sidebar, click on User Management
- In the Users Tab, click on the dropdown in the Roles column and change the user role
C2. Remove users
To remove a shared user follow the below steps:
- Login to the Scanova Account
- On the left sidebar, click on User Management
- In the Users Tab, click on the X icon in the Remove > click on Confirm
D. Export Shared Users Data
For account owners with multiple teammates managing QR Code campaigns, Scanova provides an option to export shared user data. This feature allows account owners to download a comprehensive report of all shared users, their roles, and activities.
To export shared user data, follow these steps:
- Login to your Scanova account
- Go to the User Management section
- Click on Download icon to download Export User Data
- A CSV file will be generated, containing detailed information about all shared users, including their names, email addresses, roles, and activity logs

The CSV file contains the following information for each shared user:
- Name
- Email Address
- Role
- Invited On (UTC)
- Invitation Accepted On (UTC)
- Status
- Tag Permissions
- MFA Status
- MFA Enforced
- Number of QR Codes Created
- Last Login On (UTC)
