Connecting Scanova to HubSpot
What this integration does
Every time someone scans a QR code and submits a Lead Form, Custom Form, Feedback Form, RSVP Form, or Inquiry Form, Scanova can automatically push that submission into HubSpot as a Contact, Company, Deal, or Ticket — no manual export or CSV upload needed. You control exactly which form feeds which HubSpot object, and which fields map to which.
You can also set up multiple integrations — for example, one that turns Feedback Form scans into Contacts, and another that turns Inquiry Form scans into Deals.
Setup steps
1. Start the connection
Go to Integrations → Applications in your Scanova dashboard, find the HubSpot card, and click Setup.
2. Sign in to HubSpot
A dialog explains what the integration does. Click Sign In to HubSpot, then either:
- Create a new HubSpot account, or
- Sign in to your existing HubSpot account
This authorizes Scanova to send data to your HubSpot portal.
3. Name your connection
In the Set Up HubSpot Integration panel, give this connection a clear name (e.g. "Feedback → Contact" or "Real Estate Inquiry → Deal") — especially useful if you plan to set up more than one.
4. Select Form Type
Choose which Scanova form feeds this integration:
- Lead Forms
- Custom Form
- Feedback Form (Feedback QR Code)
- RSVP Form
- Inquiry Form (Real Estate QR Code)
- Feedback Form (Restaurant QR Code)
5. Select QR Code / Lead List
Pick the specific QR code (or lead list) whose form submissions should flow into this integration.
6. Select HubSpot Action
Decide what gets created in HubSpot each time the form is submitted:
- Create Contact
- Create Company
- Create Deal
- Create Ticket
7. Map Fields
Match your Scanova form fields to the corresponding HubSpot fields (First Name, Last Name, Email, City, Country, State, Time Zone, etc.). Need a field that isn't listed by default? Use Search HubSpot fields → Add Field(s) to bring in additional fields like Street Address, Job Title, Company Name, or Annual Revenue.
8. Review & Test
Review the full field mapping, then click Send test data to confirm sample data reaches your HubSpot CRM correctly before going live.
9. Complete Setup
Once the test passes, click Complete Setup. Your integration now appears under Integrations → Active Connections, showing its status (Connected), who created it, and when — with quick actions to edit or delete it anytime.
Tips
- Use descriptive Connection Names if you're running multiple integrations, so it's clear which form maps to which HubSpot action at a glance.
- Always run Send test data before relying on a new mapping — it catches field mismatches before real leads are affected.
- You can edit an existing integration's field mapping later from Active Connections without rebuilding it from scratch.
